2.  DESCRIPTION OF DUTIES

2.1.                                Name of Position

The Employee shall be employed in the capacity of: PERSONAL ASSISTANT The direct supervisor of this employee is DIRECTOR OF OPERATIONS (COO) or designee.

2.2.                              Essential Job Functions and Duties

The essential job functions or duties of this position are as follows:

Provide administrative support to the Director of Operations and to ensure that all Secretarial/Administrative/Support requirements are met.

Supports the above to perform their responsibilities in an organized and timely fashion which is consistent with the operating practices of the business, the requirements of their roles and in doing so provides support to the relevant team within the organization.

2.3.                              Required Skills

Skills required to complete this job may include, but are not limited to:

  • Effective communication skills, including the ability to effectively communicate requests and instructions to individuals and groups

  • Internet and PC proficiency with MS Word, Excel, PowerPoint, & Outlook skills
  • Demonstrated experience with high efficiency and accuracy of typing and word processing
  • Experience with diary and travel management
  • Adobe Photoshop, In Design knowledge would be highly regarded

2.4.                              Abilities Needed

2.5.                              Knowledge, Experience, and Education

Necessary knowledge, experience, and education recommend for this job includes, but is not limited to:

  • High School Diploma or
  • No public or criminal record of any violation of any Animal Protection Act.
  • No Criminal History & with good moral
  • Valid Class C Driver’s License
  • Drug-Free
  • Customer and Personal Service — Knowledge of principles and processes for providing customer and personal This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and

2.6.                              Daily Activities & Duties

  • Administrative Support
    • Direct assistance and servicing any requirements of the Directors
    • Secretarial support for the Directors
    • Undertake general word processing and excel work
    • Prepare power point and other forms of presentations for internal and external attendees
    • Handling communications on behalf of the Directors including daily maintenance of digital diary, arranging/accepting meetings and telephone calls Maintain and manages diaries and meeting commitments
    • Types meeting minutes as required; i.e. fortnightly marketing minutes, monthly management minutes, Executive minutes
    • Transcribe dictation
    • Manage aspects of team meetings including venue set up, diary notices, documentation and materials
    • Updates and prints marketing documents, design covers etc
    • Updates web site as required
    • Photocopying as required
    • Mail merges as required
    • Scanning of documents as required
    • Update required material through various platforms
    • Ordering catering
    • Organize printing for office stationery and business cards
  • Office Management
    • Organize and co-ordinate corporate travel and accommodation arrangements
    • Review and attend to emails
    • Exchange and obtain information for senior management and external clients and suppliers
    • Maintain appropriate levels of office supplies, stationary, office equipment including printers and photocopiers and monitors maintenance issues
    • Function coordination. Arrange catering, lighting, security, invitations, RSVP’s etc
  • Telephone Attendance
    • Answer routine questions and obtain/furnishes information
    • Maintain confidentially and privacy at all times in respect of these and any other communications which are necessary and appropriate for the discharge of the role and responsibilities
  • Preparation of Reports & Document Management
    • Preparation of documentation
    • Prepares documentation for tender, Expression of Interest and project submissions
    • Draft routine letters or reports
    • Organize and maintain correspondence and records, follows up on pending matters with some guidance
    • Maintaining mailing lists, preparing labels, envelopes, etc.
    • Arranging, coordination and management of images and project photos

2.7.                              Place and Hours of Employment

Duties are based at Custom Canine Unlimited Headquarter, but may render at various locations as assigned based on customer needs, both nationally and internationally.

This job requires an employee to remain available to work flexible hours and schedules as duty requirements dictate, to include holidays, nights, and extended work hours.

3.  COMPENSATION TERMS

3.1.                                Base Compensation

Employee shall receive a salary of $8.50 per hour payable on the 1st and 15th day of each month. Employer shall deduct or withhold from compensation any and all sums required for federal income and social security taxes, as well as all state or local taxes now applicable or that may become applicable to Employee or Employer in the future.

3.2.                              Additional Compensation

Employee shall receive Additional Compensation as set forth in current company policy. All Additional Compensation shall be paid in addition to all Base Compensation and according to Base Compensation installment dates.

4.  BENEFITS

Employee shall qualify for benefits consistent with current company policy and all documents provided at time of hire.
